Request a project vehicle
The State Motor Pool frequently has a few older, high mileage vehicles available for assignment to agencies that have a short-term transportation requirement.
The requesting agency’s Transportation Officer or his/her designee must approve all project assignments.
DUTIES OF DEPT OF GENERAL ADMINISTRATION, MOTOR POOL:
Motor Pool shall provide to the requesting Agency state motor pool vehicles in good working condition for agency employees to conduct state business. The motor pool vehicles will be safe and in good repair upon date of issue. The motor pool vehicles will be used and driven only by authorized employees or agents of the agency.
Motor Pool shall dispatch the vehicles from the Olympia Motor Pool located at 1312 Fones Road S.E. #4, Olympia, Washington.
A copy of the trip ticket will be given to the Agency assigned driver at the time the vehicle is dispatched. Gas cards will be provided with all vehicles and remain with the vehicle during the rental period.
Motor Pool vehicles will be issued to the agency pursuant to agreed upon check out dates and return dates. Motor Pool shall charge the agency a daily and mileage rate based upon the class of the vehicle.
The following conditions apply to vehicles in the project category:
- Return date is the date the vehicle is due back to the motor pool. The vehicle must be returned to the motor pool on or before the date specified. Sometimes return date can be extended. Please notify motor pool prior to return date if extension is needed.
- In the event the vehicle becomes inoperable, vehicles under the project may not be replaced. If found to be mechanically unsound or not financially advantageous to repair, the vehicle will be returned to the motor pool and no further charges will be accrued from that date forward. does not imply, suggested or guarantee that a replacement vehicle will be available. Further, the motor pool reserves the right to recall a vehicle at any time during the contract period within 10 business days of written notification.
DUTIES OF THE REQUESTING AGENCY:
The agency is to use the vehicles in accordance with WAC’s, RCW’s and Motor Pool guidelines.
The assigned driver is responsible to send a monthly trip ticket to the Motor Pool by the last working day of the month. The trip ticket is to include, at a minimum, the Agency Name, Agency Number, Mileage, Drivers Name, Drivers Phone Number, Inclusive dates of dispatch, License Number, County, City. Instructions are on the reverse side. Late trip tickets submissions may result in the return of your vehicle to the motor pool.
The assigned driver of the vehicle is to ensure that regularly scheduled maintenance occurs according to the scheduled outlined by the motor pool. The assigned driver is to make the vehicle available per Motor Pool direction for oil changes, tire rotation, brake inspection, fluid checks, suspension check and other services deemed necessary to ensure the safe and reliable operation of the vehicle is maintained.
