Card Data Export File Options
US Bank offers many options with regards to exporting card data from Access Online and importing into your ERP system. US Bank operates on a self-service model so that you do not have to rely on the bank to administer your process. This is a proven concept that allows organizations to independently manage their data:
Transaction Detail Report: This is the most basic of exports and is simply pulling transaction detail from Access Online and placing into an Excel report. You can then manipulate the data in Excel to meet your GL import requirements. You can extract data based on date range, approval status, department, MCC, etc. This form of extract is most commonly used by programs not using Transaction Management. You can also create a custom “flex data” report to obtain this information. (the flex data report can be used to customize this data).
Extract Administrator: This is a common form of extract for those programs using Transaction Management and Approval. You can run a transaction extract at any time based on date, approval status, etc. When using this function the transactions extracted become locked in Access Online so that no changes can be made to account coding. This data extract is then formatted into the SBF2.5 or USBC1 file and delivered to the Data Exchange box in Access Online.
SBF2.5 Statement Billing File: This is a straight sequential ASCII character fixed field length variable file/record type. This file contains all of the Level I and Level II data passed by VISA plus some airline itinerary data. Both default accounting codes and allocating accounting code detail from Access Online are also included.
USBC1 U.S. Bank Commercial Format: This is provided in a block formatted ASCII text, variable field length, tab delimited format, similar to the Visa Commercial Format (VCF40). It contains all Level I and Level II data passed by Visa and also includes Level III data for purchasing line item detail, airline itinerary detail, and hotel folio detail when provided by the merchant. Default accounting codes and allocating accounting code detail from Access Online are also included.
*US Bank can automatically deliver extract files in either the SBF2.5 or USBC1 formats to your Access Online Data Exchange box based on your cycle date or it can be a daily feed. Additionally, they can be delivered via secure FTP or EDI.
